Every employeeUser accounts for drivers, dispatchers, and other staff to perform varying functions in TrackIt. you add on TrackIt is required to have an employee type assigned to them. So before you can even add employees, you must create types from this screen. The common practice is to list types according to position titles, such as drivers, dispatchers, and supervisors. You may even include types for mechanics and office staff as needed.
Differentiating employees by type is not only helpful from a filtering standpoint, but also allows you greater flexibility with TrackIt features like Payroll. Types added here are editable in payroll so that you may also apply and alter rules there regarding early logins, pay schedules, maximum login times, and more.

To facilitate early preparation for a shift or prevent employees from clocking in early, this setting controls the employee type's ability to log in to TrackIt before their scheduled time. Additional information is offered under Setting early login times.

The maximum amount of time in minutes that an employee type can clock inGoing on or off the clock for the purpose of tracking total hours worked. before their shift begins. You must set Allow Early Login to Yes for this to take effect.

The maximum number of minutes an employee can clock in after their shift start time without being marked as late. Once this threshold is exceeded, TrackIt flags the time card with an exceptionUnexpected events relating to time cards, like late logins, accidents, absences, and auto-logouts.. If the Require Comment to Clear Exception setting on the Payroll Setup screen is enabled for a specific type of exception, then an administrator must to review and add a comment to the time card entry. Leave as 0 to ignore this setting.

The maximum amount of time in hours that an employee may remain logged in before TrackIt automatically logs them out. This is often used in the eventEngine data recorded by TrackIt that includes fault codes and driver behaviors like hard braking. of employees forgetting to log out at the end of the day. This does not clock out the employee on their time card.

Compliance with FMCSAAn agency within the U.S. Department of Transportation that is in charge of regulating commercial driving. regulations requires that a driver only be allowed behind the wheel up to a specific number of hours each day. By specifying a value here in hours, the employee type is then restricted with how many hours they can be scheduled each day for a work type. Additionally, this field affects the data provided on the Hours of Service report. |
Payroll Settings
If an Early Login Time is allowed and specified, TrackIt needs to know how to classify minutes logged outside of an employee's scheduled shift. This setting defines whether early clock-in time is qualified as paid or unpaid time.

To ensure employees take lunches of a minimum duration as part of state and federal regulations, select this option. The total time an employee is in the lunch statusThe specific activity or task a driver is currently engaged in, typically as part of a process called a "status loop." is automatically deducted from their time card. |

Regulations typically require a minimum duration for a break to qualify as lunch, which you can specify here. This time requirement must be met while in the lunch status. |

Some employees may not need or want an entire lunch break due to being behind schedule. This setting allows you to provide a minimum amount of time an employee can be on lunch before changing back to a work status. |

After a specific number of work hours each week, employees expect to receive overtime (OT) pay for additional time spent on the clock. Specify the total hours an employee must attain each week before switching to overtime pay. Typically this is 40 hours. |

The duration of a shift may warrant for the use of overtime (OT) pay if an employee needs to work longer than scheduled. Specify a threshold an employee must exceed each day before switching to overtime pay. Typically this is 8 hours. |

Based on the number of holidays observed by your company, you may specify the total number of paid hours available for assignment on time cards. Depending on your company's regular hours of operation, some days may be more difficult than others to schedule shifts. Select specific days of the week (such as weekends) to automatically qualify for overtime pay. |
Setting early login times
When an employee attempts to log in before their shift is scheduled to begin, TrackIt Android displays an error indicating the earliest time they may log in. However, you may use the Early Login Time (min) option to allow drivers more time to prepare their equipmentAll machines used as a means of production on a construction site or at a batch plant. in advance of a shift.

- Navigate to Payroll > Schedule > Add Schedule.
- Verify that In and Out times are specified for employees.
- Now navigate to Payroll > Setup > Employee Type Setup.
- For each desired employee type, click the Edit Employee Type
button.
- Select
Yes for Allow Early Login.
- Enter a numeric value for Early Login Time (min).
The employee cannot clock in earlier than their scheduled time factored with the early login time.
